KSS Architects is an architecture, planning, and interior design firm with offices in New York, Philadelphia, and Princeton. Since our founding in 1983, we have built an impressive portfolio of work for clients who are leaders in education, land development, commercial real estate, and corporate environments.   • HR Manager

    The Human Resources Manager position will be responsible for executing a comprehensive human resource strategy as well as managing all day-to-day HR functions including, but not limited to: administrative support, recruiting, benefits, onboarding, payroll processing, and specialized tasks and services to support the operations of the HR Department. The incumbent will have the option of working from either the Princeton or Philadelphia office. 

    Essential Functions:

    • Enhance the firm’s human resources by planning, implementing, and evaluating employee relations and human resources policies, programs, and practices.
    • Provide guidance to the partners by preparing, updating, and recommending human resource policies and procedures.
    • Be actively involved in recruitment by preparing job descriptions, posting ads, and managing the hiring process.
    • Administrator biweekly payroll.
    • Implements employee benefits programs and informs employees of benefits by studying and assessing benefit needs and trends; recommending benefit programs to the partners; directing the processing of benefit claims; obtaining and evaluating benefit bids.
    • Create and implement effective onboarding plans.
    • Develop training and development programs.
    • Support the partners of disciplinary and grievance issues.
    • Maintain employee records (attendance, EEO data etc.) according to policy and legal requirements.
    • Ensures legal compliance by monitoring and implementing applicable human resource city, federal and state requirements, conducting investigations, maintaining records, and representing the organization at hearings.

    Required:

    • BS/BA in human resources, business administration, management, or relevant field
    • PHR/SPHR certification required
    • 5+ years of experience in a HR position
    • Knowledge of HR functions (pay & benefits, recruitment, training & development etc.)
    • Understanding of labor laws and disciplinary procedures
    • Proficient in MS Office
    • Outstanding organizational and time-management abilities
    • Excellent communication and interpersonal skills
    • Problem-solving and decision-making aptitude
    • Strong ethics and reliability

    Preferred:

    • Experience with Deltek

  • Marketing Coordinator

    The Marketing Coordinator will support a wide breadth of department responsibilities, in a dynamic and high-energy environment. The ideal candidate possesses a bachelor’s degree at minimum and 1-3 years of experience in a marketing/proposal development role for a professional services firm. A degree in Marketing, Business, Communications, Writing or a related discipline is preferred. Experience with project lifecycles, marketing campaigns, design, and/or the A/E/C industry is a plus.

    Marketing Coordinator Role and Responsibilities:

    The Marketing Coordinator will support a wide breadth of projects, including proposal development, graphics development, content development, communications and public relations, opportunity forecasting, website maintenance, and internal/external coordination:

    • Prepare, edit, and assemble proposals, qualifications, presentations ranging in size and complexity from single page letters to multi-volume bound submissions.
    • Prepare presentations and interview materials for client interviews, speaking opportunities, and other engagements.
    • Collaborate with design teams, administration, consultants, and partner firms.
    • Plan, organize, and maintain accurate website pages, project pages, resumes, business cards, and other project-related data for marketing use.
    • Format, edit, and graphics creation for web, digital, and print collateral.
    • Ensure final graphics and layouts are visually appealing and on-brand
    • Develop graphic content including organizational charts, infographics, tables, and other technical and non-technical graphics that stay in line with brand standards
    • Support the coordination of conferences, speaking engagements, professional networking events, and company events.
    • Accomplish additional miscellaneous as-needed projects to support marketing campaign developments and targeted efforts, ex. social/professional networking presence, email blasts.

    Required Skills and Capabilities:

    Required:

    Fluent in Microsoft Word, Excel, PowerPoint and Outlook; Adobe Acrobat/Reader, Photoshop, InDesign and Illustrator

    Effective verbal, interpersonal, and written communication.

    Ability to work with quick turnaround times while balancing multiple priorities and dynamic workloads with minimal supervision.

    Creative mindset with understanding of visual language and ability to transform ideas from concept into final product.

    Ability to execute short-term goals infused with long term initiatives.

    Preferred:

    Previous experience with content management systems such as Deltek, Open Asset and Tableau. Skills in photography, video production, social media platforms, technical research, data analysis and interactive visualization, interactive software

    Proven graphic design experience.

You will work collectively with our dynamic firm to develop innovative and thoughtful solutions for a wide range of clients and project types.

  • Senior Accountant

    Primary Responsibilities:

    • Enter project budget and funding based on information included in the contract documents and provided by Project Managers
    • Responsible for creation of accurate client invoices in compliance with contract terms and accounting schedule; work with consultants and Project Managers to ensure terms are set prior to initial invoicing
    • Assist with research and collaborate in tracking and correcting project and project team financial strength in relation to firm goals for Project Managers, Controller and Partners
    • Collection management, collaborate with Project Managers and Partners to resolve outstanding AR issues and confirm documentation of collection activities
    • Process Accounts Payable transactions for Consultants
    • Review, approve and communicate release of sub consultant payments
    • Reconcile and close out all projects to ensure all revenue has been billed and all time and expenses have been recorded in order to accurately report the profitable on the project to the Controller and Partners
    • Provide additional financial and project accounting support as needed (ex. Quarterly and year end close, additional service development, etc.)
    • Participate in developing critical systems and process tools to help create a continuum of progress related to Architect, Accounting and Marketing collaboration

    Qualifications:

    • 4-Yr Bachelor’s degree in Business or Accounting with a minimum of 5+ years accounting experience
    • Deltek experience a plus; proficient with MS Office applications
    • Accounting experience in A/E/C industry desirable
    • Must be self-motivated, well-organized, detail-oriented and able to work well independently and as part of a team; critical thinking is essential

  • Billing/Accounts Payable Specialist

    Primary Responsibilities:

    • Facilitate the timely and accurate creation, and submission of all client invoices
    • Maintain detailed instructions on how each client requests to be billed
    • Communicate with Clients and Project Managers to ensure resolution of any billing issues
    • Provide customer service to clients as it relates to invoicing
    • Process Client’s payments
    • Collaborate with Project Managers to resolve outstanding AR issues and confirm documentation of collection activities
    • Review and process all vendors invoices, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies
    • Review and answer questions as needed for employee expense reports relative to travel and business expenses
    • Provide additional financial and project accounting support as needed (ex. Quarterly and year end close, additional service development, etc.)

    Qualifications:

    • 4-Yr Bachelor’s degree in Business or Accounting
    • Deltek experience a plus; proficient with MS Office applications
    • Accounting experience in A/E/C industry desirable
